Start With One Approved Shipping Instruction
Our suggested review starts with the latest destination assigned in the seller’s shipment workflow. Record the shipment reference, warehouse code, complete street address, city, state or region and postcode together. Compare this record with the invoice, packing list and instructions supplied to the transport team. Do not choose whichever field looks most familiar when a code and address disagree. Ask the seller to resolve the difference and issue a corrected, dated instruction before release.
Keep The Identifiers Separate
An FBA box identifier and a carrier label serve different purposes. Amazon’s label reminder distinguishes them and calls for readable labels on flat surfaces. Use the current shipment workflow for the actual label set. In our proposed box register, link each physical carton to its box ID, contents, quantity and carrier reference when available. Check after repacking: a changed box configuration needs a new reconciliation rather than labels copied from an earlier arrangement.
Approve The Final Version Before Collection
Assign a named reviewer and record the version used for release. Keep the supplier’s final carton count, readable label photographs and the corrected instructions in one shipment folder. If an address, quantity or label changes after booking, ask which transport records must be updated and who will confirm completion. A message saying “please check” does not define which fields were checked or authorize an unresolved change.
Build An Evidence Pack For An Exception
If tracking indicates an unexpected destination, first identify the affected boxes and the last confirmed handover. Request the actual carrier record and delivery evidence, compare them with the approved instruction, and keep a dated timeline of the discrepancy. Separate observed facts from suspected causes. This checklist supports review; it does not decide fault, compensation or Amazon case eligibility. Confirm the applicable process with the carrier and the seller account.

- Shipment reference and assigned receiving address match the approved instruction.

Worked Example
Illustrative example: a shipping instruction names warehouse A but its postcode and street address belong to warehouse B. Hold release, obtain a corrected instruction and confirm the downstream label and booking records. Do not infer the intended warehouse from the code alone.
