Opening And Filling In The Files

Open CSV files in a spreadsheet app. If everything appears in one column, import the file as UTF-8 with a comma delimiter. Open TXT files in a text editor.

Keep package references, order numbers and postal codes as text to preserve leading zeros. Fill only the blank cells; keep the field names and comparison criteria.

Mark unknown details as pending. Save a separate copy for each shipment and check the units in the headings before sharing it privately with the team.

These files prepare the conversation. They do not replace required shipping documents or authorize purchases, transport or returns. Mark uncertain details as pending and share completed records privately.

Worked planning example

Three Suppliers, One Shipment

Situation

Supplier A has 12 cartons ready; B has 8; C has 5 arriving later. Sending everything together requires a receiving list and a decision about the missing arrival.

What To Do

  1. List supplier, order reference, expected cartons and expected arrival separately. Get receiving instructions before any supplier dispatches.
  2. Compare arrivals with that list. If A arrives with 11 cartons, identify the missing carton before treating the order as complete. Keep the discrepancy separate from C’s later arrival.
  3. Choose whether to wait or release a defined partial shipment. Identify exactly which cartons are included and approve any repacking before work begins.

What To Check Afterwards

Reconcile received, held and released cartons. Use final outer measurements and gross weights for the shipment; supplier estimates do not become final measurements simply because goods have arrived.

Arrival At A Port Is Not The Delivery Address

Situation

The consignee needs delivery to an upstairs shop, but the transport quote ends at the destination terminal. These are different scopes and need different handover arrangements.

What To Do

  1. State the destination terminal and final address separately. Describe stairs, appointments, vehicle access and unloading restrictions.
  2. Identify who handles destination documents, clearance, terminal collection and final delivery. Give the receiving party the package count and shipment references.
  3. Before handover, reconcile available cargo, collection arrangements and recipient details. If access changes, revise the delivery plan before dispatch.

What To Check Afterwards

Check the named handover point, responsible parties and delivery evidence. Keep a discrepancy record with date, package reference and visible-condition photographs if an issue is observed.

Practical Answers Before And After Dispatch

Does A Sample Need A Clear Description?

Yes. Describe the actual product and record its purpose, quantity and value information. Confirm valuation and document requirements for the destination; a sample is not automatically tax-free.

What Should I Keep If Cargo Is Damaged?

Keep the packaging, shipment reference, value records and photos of the box, inner protection and contents. Separate before-dispatch and arrival photos. Report promptly and confirm the applicable process and deadline.

Can Several Parcels Have Separate Updates?

Keep each parcel reference linked to its box and contents. Review the affected parcel with the team; a group of packages does not guarantee the same delivery date for every piece.

Know Who You Are Coordinating With

Situation

Jeton Express has Guangzhou operations and a Hong Kong office. Shipment preparation begins with the goods and the receiving arrangement, not simply a company mailing address.

What To Do

  1. Use the published WhatsApp, Telegram or telephone contact to describe the cargo and destination.
  2. Obtain the receiving address, contact and shipment reference before sending goods. A registered company address is not automatically a cargo receiving address.
  3. Record the agreed scope and the person responsible for each stage so supplier collection, cargo handling and destination handover follow the same plan.

What To Check Afterwards

The Hong Kong legal entity is JETON EXPRESS SERVICE LIMITED. Company registration facts identify the entity; the agreed shipment scope defines the work requested.
