Before You Arrange The Work

Define the exact starting point and endpoint. A port destination and a receiving address represent different scopes. Use the same product description, final packed dimensions, weight and quantity when comparing quotations.

Confirm The Practical Details

Ask which collection, receiving, packing, freight, destination handling and delivery items are included or separate. Confirm the charging unit, minimum charge and rounding rules. A unit rate alone does not establish the total shipment cost.

Before Dispatch

Check quotation validity and conditions again before dispatch. If a free period is stated, ask which charge it concerns and when it starts. Changes to cargo, packing, route or delivery conditions need an updated confirmation.

Compare Two Quotations With The Same Endpoint

Situation

Quote A covers international freight only. Quote B also lists origin handling and destination delivery. The smaller headline figure is not necessarily the smaller total.

What To Do

  1. Fix the same cargo description, final package measurements, gross weight, origin and endpoint for both requests.
  2. Place collection, reception, packing, freight, destination handling and final delivery on separate lines. Mark included, excluded or awaiting confirmation.
  3. Check currency, charging unit, minimum, validity and payment conditions. Ask who pays destination charges and what triggers extra storage or waiting charges.

What To Check Afterwards

Keep unresolved items visible before approval. Do not total figures in different currencies without stating the conversion basis; an unspecified charge must not be treated as zero.

Worked planning example

From Carton Measurements To Shipment Volume

Situation

20 cartons each measure 60 × 40 × 50 cm outside their packaging. Their combined carton volume is 20 × 0.60 × 0.40 × 0.50 = 2.40 m³.

What To Do

  1. Record quantity and dimensions for each carton group; use metres in the cubic-volume calculation.
  2. Add each group separately. If a pallet or crate is added, measure the finished outer package again rather than adding the product dimensions alone.
  3. Compare LCL handling, minimum charges and destination charges with the full-container scope. 2.40 m³ alone cannot decide the cheaper mode.

What To Check Afterwards

A carton-volume calculation is a planning input. Final packed volume, weight, stacking constraints and the selected charging rules determine the quotation basis.

Attach The Sale Term Without Turning It Into A Price Line

For an LCL request, record the agreed trade term, edition and precise named port or place alongside the origin and quotation endpoint. The ITA overview describes seller–buyer responsibilities; the transport quotation still needs its own service scope. Our recommended comparison identifies which work the supplier already arranges and which work you are asking the forwarder to arrange. An unclear abbreviation stays marked for confirmation rather than being used to fill a missing cost with zero.

Assign Each Quoted Service And Keep Exclusions Visible

ICC distinguishes the sale contract from the contracts surrounding the shipment. Our recommended comparison register assigns each service line an ordering party, bill recipient, currency, charging basis, included or excluded status and confirmation reference. Keep destination handling, clearance services, public duties or taxes and final delivery distinguishable. If a supplier changes the collection point or the quotation changes its endpoint, revise the comparison before approval. A total price does not settle an unresolved service boundary.
