Incoterms And The Freight Quote: Confirm The Named Place And Service Boundary

A three-letter trade term cannot replace a shipment scope. Record the agreed version and place, then match the seller–buyer arrangement to the actual collection, transport and delivery quotation.

Pre-Shipment Inspection: Define Scope And Review The Release Decision

Agree what the inspection should answer before booking it. Link the report to the actual order, specifications and inspected coverage, then record the buyer’s decision on unresolved findings.

Wait For All Suppliers Or Release Part Of The Order? Set A Consolidation Cutoff

When one supplier is late, compare a complete shipment with a clearly defined partial release. Set a review date, identify the exact goods and approve the remaining costs before dispatch.

Bill Of Lading Draft Review: Track Instructions, Changes And Approval

Review the draft against the approved shipment records, then close each correction against the revised document. Sending an amendment request is a step in the process, not evidence that the final record changed.

Proof Of Delivery: Review A Discrepancy With The Right Records

When a tracking update and the receiver’s report disagree, assemble the available delivery record and a package-by-package timeline. Keep observed facts distinct from assumptions about what happened.

Container Free Time: Plan Pickup, Unloading And Empty Return

Container VGM And Cutoffs: Prepare A Release Record

Non-Stackable And Oversized Cargo: Prepare A Useful Quotation Brief

FBA Dispatch Checks For Addresses And Box Labels

Before releasing an FBA shipment, reconcile the receiving address, shipment plan and actual boxes. A warehouse code alone is not enough to resolve conflicting instructions.

Ocean Shipping Delays And The Milestones To Check

A quoted transit time is useful only when its starting point and endpoint are clear. Follow the shipment’s actual milestones before deciding whether to wait, change a booking or arrange additional stock.

Replenishment Planning For Long Shipping Lead Times

Use the full time needed to replenish usable stock, then test a delayed-arrival scenario. Vessel transit alone can hide production, collection and receiving time.

Consolidating Goods From Several Suppliers

Create an expected-arrival list with supplier names, order references, product descriptions, package counts and readiness dates. Agree the receiving address and reference before suppliers dispatch. Mark estimates clearly; a supplier’s unconfirmed dimensions are not final shipping measurements.

What To Record When Cargo Changes Hands

Agree what receiving and handling records are needed. Link photos or notes to an order reference or package identifier so the same goods can be recognised across stages. Serial-number recording or opening boxes should be explicitly included when required.

Compare Suppliers Beyond The Unit Price

Compare the same model, material, quantity, accessories and packing. Similar photographs or product names do not establish identical specifications. Confirm samples and purchase approval requirements before placing an order.

What An Inclusive LCL Quotation Should Explain

Define the exact starting point and endpoint. A port destination and a receiving address represent different scopes. Use the same product description, final packed dimensions, weight and quantity when comparing quotations.

From Destination Arrival To Final Delivery

State the destination port or airport and final delivery requirements separately. Identify known appointments, access limits and unloading arrangements. A country name alone does not define the delivery endpoint.

Cartons, Pallets Or Crates: Choosing The Packing

Describe the current outer packing, internal protection, package count, dimensions and weight. Say whether these are final measurements or estimates. Product dimensions without the shipping packaging are not a complete packing brief.

Before Sending A Parcel: Measurements, Address And Documents

Start with the finished outer packaging, not the bare product. Record the length, width, height, actual gross weight and units for each parcel. Keep the package count and contents linked to a box reference. If a supplier provides estimates, label them as provisional. Repacking can change the measurements and the quotation, so confirm the final record before release.

Sending A Supplier Sample: Keep The Order And Shipping Records Clear

Record the supplier, order reference, product specification, version, quantity and intended purpose. Keep the sample cost, payment record and agreed packing together. If the sample will be compared with a later production order, define what needs to match and what checks will be performed. A received sample does not establish that every unit in a future batch will be identical.

Cargo Damage Or Missing Pieces: What To Record

Record what you actually see: the time, place, parcel reference, expected count and received count. Photograph the outer box, label, inner protection and affected contents. Keep the packaging available for review and identify which photos were taken before dispatch and which at receipt. Visible damage to a box and damage to its contents are different observations.

Shipping A Product With A Battery: Prepare The Review Before Purchase

Record the product and battery model, chemistry, capacity and manufacturer. State whether batteries are installed in the product, packed alongside it or shipped separately. Include battery count per item and per package, destination and intended transport mode. These are different shipping configurations; a product photograph alone does not establish acceptance.

Wooden Crates And Pallets: What To Check Before Export

Ask the packer to identify the material used for the crate, pallet, supports and internal bracing. A plywood box can still contain solid-wood runners. ISPM 15 distinguishes raw wood packaging from packaging made wholly from qualifying processed wood. Confirm the actual construction and destination requirements before ordering packaging.

Return QR Code Or Shipping Label: What To Check Before Handing Over A Parcel

For the US FedEx process documented in its location guide, a participating retailer supplies a QR code and an eligible counter prints the return label. A code on your phone therefore has a different role from the label attached to the parcel. Check the retailer’s message, the carrier and the specific location’s printing capability. This US example does not establish support at every partner location, in another country or for a driver collecting from home.

Shipping Weight And Invoice Corrections: Build A Clear Review File

Keep actual gross weight, outer length, width, height and units for each finished parcel. Measurements taken before repacking may describe a different package. FedEx’s weight guidance explains that parcel dimensions matter when preparing a shipment and that packages may be weighed and measured again. Identify the selected service and market before applying a dimensional-weight rule. The weight printed on a label alone is not enough to reconstruct every billed charge.

Label Created, But No Collection Scan: Which Records To Check

UPS’s US tracking guide describes Label Created as receipt of shipment details and billing information. It says the status changes once UPS has possession of the shipment and it is moving in its network. FedEx’s Canadian FAQ describes Shipment information sent to FedEx as a package still at the shipper’s original location. These are carrier-specific explanations, not a universal translation of every label status. A label number or a seller’s dispatch message alone does not establish the parcel’s current physical location, customs position or delivery date.

Freight Paid, But Another Import Bill Arrives: Clarify The Charge And Payer

FedEx’s US international guidance includes duties, taxes and other clearance charges when discussing total landed cost. DHL Express’s US customs-services page describes administrative charges associated with handling certain customs payments. These examples show why a transport price and an import bill need to be examined separately. They do not establish a rate, tax threshold or universal fee for your destination. Ask which invoice lines are government assessments and which are services or advances provided by the carrier or broker.
