Start With The Booked Service And Package References
Our suggested review records the shipment reference, individual package numbers, stated delivery address and the signature or release option actually booked. Ask the sender for the approved instruction and any authorized changes. For several boxes, check each piece instead of treating one delivered reference as the complete order. Record the receiver’s report with its time and scope: no boxes received, fewer boxes received, or goods received with a condition issue are different questions.
Identify What The Available Evidence Shows
FedEx’s documentation distinguishes status tracking from signature proof, whose signature image depends on availability. Its UK FAQ also describes pictures for certain residential no-signature deliveries. For your shipment, identify whether the record is a status entry, a delivery letter, a signature image or a placement photograph. Record the stated time and place and which package it identifies. Ask the carrier what additional information is available through the authorized account; do not treat the absence of a public image as proof of a particular cause.
Compare The Record With The Receiving Check
Ask the receiver to check the agreed reception point, internal receiving log and authorized contact before drawing a conclusion. Compare the available photo or stated location with the intended handover point. If the receiver reports fewer pieces, list the specific missing references and keep records of the pieces received. Record a visible packaging issue separately from the contents count. Share the relevant evidence with the appointed contact, keeping personal details limited to what the review needs.
Open A Factual Exception And Track The Next Action
Our proposed case brief contains the disputed event, affected references, booked instruction, receiver’s observation and supporting files. Ask the carrier or appointed shipping contact for its review route, required evidence and applicable reporting deadline. Keep the case reference, owner, next update and resolution record. A proof-of-delivery document alone does not establish the condition of every item inside a box or decide a compensation claim. Do not replace a trace with an unsupported accusation.

Worked Example
Invented example: a three-box order has delivered updates for boxes A and B; box C still has a different event. The receiver confirms two boxes. Review C’s own tracking and open the question for that reference; do not describe all three boxes as lost or assume A’s delivery letter covers C.
