Read the status as well as the amount
When reviewing a quotation, ask which items are confirmed, estimated, optional or awaiting approval. These are review categories, not a quotation for your shipment.
Check the amount, currency, chargeable basis, endpoint and validity. Note any condition that changes the price.
Ask what can change, who determines the final amount and when it will be confirmed.
Confirm whether repacking, inspection, storage, insurance or special delivery work has been requested and priced.
Identify the missing cargo information or decision. Agree who approves the work before it starts.
Keep origin, transport, destination and delivery items together when comparing the complete scope.
Quotation line examples

Cost decisions
A packing change or revised instruction can affect several charge lines. Keep the changed facts, the provider’s updated basis and the customer’s decision in the same record.
Link previous and revised records. Name affected packages, measurements, dates or endpoint; mark what changed and which quotation lines need review.
Ask the relevant provider for the final measurement, unit or time basis and charge impact. Reconcile it with the revised scope and retain the source.
Record customer selection and authorization for elective work separately from provider-confirmed measured or time-based charges. A review request is not work authorization or revised booking acceptance.
Confirm any applicable time-charge trigger, counting period and end event with the provider, including while instructions remain pending. A review or approval request does not establish that charging has paused.

These are review categories, not fixed charges. Confirm included and separate items in writing for the actual shipment.

Prepare the details
Review transport, handling, destination services, duties and taxes separately. Ask which items are included, estimated or charged as incurred, and who is responsible for payment.
For container moves, confirm the applicable free period, when counting starts and stops, local tariffs and empty-container return arrangements. Storage and container-use charges may follow different rules.
Repacking, changed measurements, a new address or additional delivery requirements can affect the scope. Share updated details and confirm the revised charges and next step.

Record each package separately. Use packed outer dimensions in centimetres and gross weight in kilograms. Repeat the package reference for multiple products in the same package; record its measurements only once.

Worked planning example
Quote A covers international freight only. Quote B also lists origin handling and destination delivery. The smaller headline figure is not necessarily the smaller total.
Keep unresolved items visible before approval. Do not total figures in different currencies without stating the conversion basis; an unspecified charge must not be treated as zero.
