Define The Clock Before Comparing Services
Ask whether the quotation measures from cargo receipt, vessel departure or another event, and whether it ends at port arrival, cargo availability or the receiver’s address. Record cargo readiness, collection, document and cargo cutoffs, planned departure, destination arrival and the final delivery requirement. Mark estimates separately from confirmed events. Maersk’s web booking terms treat stated times as estimates; this is a carrier-specific reference, not a Jeton service guarantee.
Ask For Evidence Of The Affected Stage
Our recommended update has five fields: last confirmed event, location, timestamp, supporting reference and next action owner. For a booking change, request the revised vessel or voyage and planned departure. For an examination, request the actual notice, the exact affected cargo and the documents requested through the appointed contact. For a destination delay, distinguish cargo availability, release, collection and receiving appointment. A generic “delayed” message cannot answer all these questions.
Review Changed Costs And Instructions
Ask for an itemized description of any additional handling, storage, transfer or rebooking charge, its calculation basis and the relevant agreed scope. Identify who must approve a change before work proceeds. Do not treat an examination notice as proof that goods must be returned, or a release update as proof that final delivery is booked. Obtain the specific instruction for the next movement. Responsibility and remedies depend on the actual records and applicable agreement.
Set The Next Decision Before Stock Runs Out
Choose a date to review the inventory impact rather than waiting for an optimistic ETA to become certain. Compare the cost and quantity of a small emergency shipment with the remaining sales window, existing usable stock and approved receiving capacity. Several forwarders may share a vessel, port or clearance bottleneck; separate suppliers do not establish independent transport risks. Our proposed milestone log keeps facts and revised forecasts visible without promising that split shipments avoid disruption.
Dispatch Checklist
- The quotation states its starting event and delivery endpoint.
- Planned dates and actual events are recorded separately.
- Each exception has a reference, requested action and next update time.
- Additional work and charges are confirmed before a changed movement.
Worked Example
Illustrative example: “18 days from departure to port arrival” does not include six days awaiting departure or the time needed for release and delivery. Retain separate rows for those stages; do not present 24 days as a complete door delivery forecast.
