Before Sending A Parcel: Measurements, Address And Documents

Practical decisions before goods move. Explore supplier coordination, packing, quotations and delivery handovers.

Before You Arrange The Work

Start with the finished outer packaging, not the bare product. Record the length, width, height, actual gross weight and units for each parcel. Keep the package count and contents linked to a box reference. If a supplier provides estimates, label them as provisional. Repacking can change the measurements and the quotation, so confirm the final record before release.

Confirm The Practical Details

Ask the receiver for the full address, postcode, building or unit, contact name and reachable phone number. If delivery is to a collection point or private mailbox, confirm its receiving restrictions separately. A postal locality match does not verify the building, recipient or carrier deliverability. Keep the receiver-approved address and report changes before dispatch.

Before Dispatch

Check that labels and invoices are readable and consistent with the actual goods. Give specific product descriptions, quantities, values and currency; identify batteries, liquids or fragile contents for review. Confirm the service, documents, included charges and any remaining questions with the team. Carrier acceptance and destination requirements depend on the actual shipment; completed paperwork does not guarantee release or a fixed delivery date.

Why A Light Carton Can Have A Larger Charging Weight

Situation

A packed carton measures 60 × 40 × 50 cm and weighs 12 kg. Using an illustrative divisor of 5,000 gives 60 × 40 × 50 ÷ 5,000 = 24 kg volumetric weight.

What To Do

  1. Send dimensions in centimetres and gross weight in kilograms for each package; do not mix units.
  2. Ask which divisor, comparison rule, rounding and minimum apply to the chosen service. The divisor above is an example, not a Jeton tariff.
  3. If repacking is proposed, compare the final protection, dimensions, weight and repacking cost before approving it.

What To Check Afterwards

Where the service charges the greater of actual and volumetric weight, this example gives 24 kg before rounding or minimums. It does not provide a rate, accepted route or promised delivery time.

A Postcode Match Does Not Prove An Address Is Deliverable

Situation

A postcode can identify a locality while leaving the street, building, unit or delivery access unresolved. A country-level match is not a delivery confirmation.

What To Do

  1. Ask the receiver for country, city, postcode, street, building or unit and a reachable telephone number.
  2. Compare the postcode locality with the written city. If they differ, return the discrepancy to the receiver rather than guessing a correction.
  3. Separately describe appointments, access and unloading arrangements, and confirm these with the selected delivery service.

What To Check Afterwards

Keep the receiver-approved address version. The reference tool supports consistency checks; it does not validate street-level delivery or certify carrier coverage.

Illustrative planning example; quantities are invented, not a customer shipment or a quotation.

Reference Reading

Link Every Package To Its Contents

Give each finished package a unique reference, such as P01 or P02. Record contents separately from the package’s outer measurements. When one package contains several products, repeat its reference for the product rows and record package measurements once.

Before Repacking

Match supplier/order, product and quantity to the received package reference. Label dimensions and weight as provisional if they are estimates.

After Repacking

Keep the old-to-new package mapping. Count the final packages and record outer dimensions, gross weight and contents before release.

At Carrier Handoff

Link each carrier tracking number to the correct final package. Several parcels may have different tracking events; ask which reference identifies the whole shipment.

This blank worksheet records package identities and changes. It does not provide live tracking or confirm carrier acceptance.

The receiving, checks, packing, charges and release scope are confirmed in writing for each shipment. Visible checks do not establish authenticity or functional performance.
