Record The Observed Condition
Record what you actually see: the time, place, parcel reference, expected count and received count. Photograph the outer box, label, inner protection and affected contents. Keep the packaging available for review and identify which photos were taken before dispatch and which at receipt. Visible damage to a box and damage to its contents are different observations.
Keep Shipment Files Together
Link the invoice or value records, packing list, parcel identifiers and handover records to the same shipment. For multiple pieces, identify exactly which parcel is affected rather than describing the whole group as missing. Keep communication dates and case references together. A missing scan alone does not prove loss, and photos do not establish where or why a problem occurred.
Confirm The Review Process
Contact the team promptly with the reference and evidence, then confirm the next action, responsible party and applicable reporting process. Investigation, liability assessment and a payment decision are separate stages. Confirm current deadlines and terms for the actual service; do not rely on an old guide’s example timeline. Keeping complete evidence supports review but does not guarantee a compensation outcome.
