Return QR Code Or Shipping Label: What To Check Before Handing Over A Parcel

A return code can help a participating counter print a transport label. Confirm the retailer’s instructions and the accepting location before taking the parcel there.

Identify The Code And The Receiving Location

For the US FedEx process documented in its location guide, a participating retailer supplies a QR code and an eligible counter prints the return label. A code on your phone therefore has a different role from the label attached to the parcel. Check the retailer’s message, the carrier and the specific location’s printing capability. This US example does not establish support at every partner location, in another country or for a driver collecting from home.

Keep Labels And Customs Documents Separate

Check which item and parcel each return reference belongs to before printing or attaching a label. DHL Express’s US packing guidance says to remove old shipping labels when reusing a box. Keep the current label clear and readable. For a cross-border return, confirm whether a customs invoice or other documents are required for the actual goods and route; a return QR code does not resolve those document requirements. Ask the retailer or the party arranging the shipment for a corrected file if a document is unreadable.

Keep A Handover Record

Before handover, record the number of parcels and keep each order reference linked to its current label. Our preparation recommendation is to retain the return authorisation, the final packed parcel photo and the counter or pickup receipt. Ask which reference can track the transport and which belongs only to the shop’s return system. A receipt records a handover step; it does not establish that a refund has been approved or that international clearance is complete.

Situation

A supplier order number, a warehouse receiving reference and a carrier tracking number can identify different stages. Searching the wrong number may return no result even when a package exists.

What To Do

  1. Map each order to its receiving reference and package count. Preserve the previous identifier if a package is relabelled.
  2. Use the carrier’s shipment or waybill number on the relevant tracking site. For multiple pieces, identify whether the number represents the shipment or one package.
  3. Keep document versions, handover dates and the final delivery record linked to the same shipment. An internal label alone does not prove carrier acceptance.

What To Check Afterwards

Separate confirmed events from assumptions: received locally, handed to a carrier, arrived at destination and delivered are distinct milestones. A missing scan does not by itself establish loss.
