    Prepare
    Provide finished cargo dimensions, weight, loading address, vehicle access and lifting needs.

    Approve the actual container type, usable space, loading method and equipment responsibilities.

    Agree a container specification, loading plan and named loading contact.
  2. Loaded Cargo And Seal

    Reconcile the final packing list with loaded packages, cargo weight, container number and seal number.

    Approve any short load, substituted cargo or packing change before closing the load.

    Who supplies or confirms
    Agree the supplier, loading contact and owner of the final packing list.
    Check against
    Match package references, actual loaded quantities, cargo weight, container number and seal to one final packing-list version.
    Pending until resolved
    Keep unexplained shortages or substitutions pending before approving the affected loaded list.
  2. Shipping Instructions And VGM Submission

    Who supplies or confirms
    Name the document provider, each submitter and the party confirming verification responsibility.
    Check against
    Check shipper, consignee, notification contact, document version, VGM method and submission confirmation; record document and VGM cutoffs separately.
    Pending until resolved
    Identify missing trade or weight inputs, the affected submission and its instruction owner.
  3. Destination Collection And Empty Return

Confirm The Container And Its Records

FCL Does Not Mean Fully Loaded

FCL allocates a container to one shipper’s cargo; the space does not have to be completely filled. Compare equipment, loading requirements and the full quotation with an LCL option.

Cargo Weight And VGM Differ

VGM concerns the packed container, including its tare and relevant packing and securing materials. Confirm the approved verification method, responsible party, submission and cutoff for the shipment.

Volume Is Only One Part Of Loading Fit.

Situation

A shipment fits the nominal container volume but includes a long crate. The crate’s orientation, door clearance and handling access may prevent the proposed loading method.

Two Arrangements To Compare

Keep The Crate And Review Loading

Compare actual equipment dimensions, door opening, orientation, loading sequence and handling access at both sites for the unchanged crate.

Review A Supplier-Approved Packing Or Configuration Change

Assess permitted changes to the product or crate, then compare the finished dimensions, protection, handling method and suitable equipment.

What The Decision Must Establish

Establish whether the finished units can enter, be positioned and be handled using the proposed equipment at both endpoints. Total cubic volume or extra container height alone does not establish loading suitability.
