Read the status as well as the amount

Every Charge Needs
A Clear Basis.

When reviewing a quotation, ask which items are confirmed, estimated, optional or awaiting approval. These are review categories, not a quotation for your shipment.

01

Confirmed In The Quote

Check the amount, currency, chargeable basis, endpoint and validity. Note any condition that changes the price.

02

Estimated / Variable

Ask what can change, who determines the final amount and when it will be confirmed.

03

Separately Selected

Confirm whether repacking, inspection, storage, insurance or special delivery work has been requested and priced.

04

Awaiting Approval

Identify the missing cargo information or decision. Agree who approves the work before it starts.

Keep origin, transport, destination and delivery items together when comparing the complete scope.

Quotation line examples

Read Every Line Of The Quote.

Review inclusion, price certainty and work authorization separately. These invented entries show why a service listed in the scope, a final amount and permission to perform elective work are different checks.

Illustrative planning example
Charge lineIncluded scopePrice basis & statusFinal basis supplied bySelection or instruction ownerNext check
International freightIn scope, using the stated package record.Listed amount for stated packages; final measurements and validity conditions still need checking.Packing party supplies the final package record; transport provider confirms charging basis and validity.Customer confirms selected movement; transport provider confirms acceptance.Match package references, final outer dimensions and gross weight to the quote; reconfirm any changed basis.
Destination handlingIn scope for the named destination stage.Estimated or variable; provider confirms actual basis and final amount.Destination provider supplies applicable service, units and final amount.Confirm designated payer and release instructions; inclusion does not make the amount fixed.Reconcile actual service, units, currency and provider confirmation when reviewing the total.
Final deliveryExcluded, although the intended receiving address is known. No delivery amount in this example; excluded or blank does not mean zero.Delivery provider supplies separate price and applicable receiving conditions.Customer requests delivery separately; receiving contact confirms access and unloading.Request separate delivery scope and price; identify unresolved arrangements before issuing the delivery instruction.
Elective repackingSeparately selectable; unselected and not authorized.Unit price provided; final units and total depend on selected work.Handling provider supplies work basis, unit price and resulting package measurements.Customer selects packages and authorizes the elective work; a price alone is not permission.Record selected work, affected packages and authorization; reconcile resulting units and measurements with the freight basis.

Illustrative entries with no prices; this is not a Jeton quotation. An included service may have a variable charge, while a priced option may remain unselected. Inclusion, price certainty and authorization are independent.

Cost decisions

Keep Changes Linked To The Quote.

A packing change or revised instruction can affect several charge lines. Keep the changed facts, the provider’s updated basis and the customer’s decision in the same record.

  1. Identify The Changed Basis

Link previous and revised records. Name affected packages, measurements, dates or endpoint; mark what changed and which quotation lines need review.

  2. Reconcile The Provider’S Update

Ask the relevant provider for the final measurement, unit or time basis and charge impact. Reconcile it with the revised scope and retain the source.

  3. Confirm The Next Instruction

Record customer selection and authorization for elective work separately from provider-confirmed measured or time-based charges. A review request is not work authorization or revised booking acceptance.

Confirm any applicable time-charge trigger, counting period and end event with the provider, including while instructions remain pending. A review or approval request does not establish that charging has paused.

Four parts of the move

Read Every Stage
Of The Quotation.

01

Origin

Collection, reception, packing, consolidation, documentation and origin handling.

02

Selected mode, chargeable basis, route, validity and transport-related surcharges.

03

Destination

Deconsolidation or terminal handling, release arrangements and any separate destination costs.

Confirm What Can Change The Total

Separate The Charge Categories

Review transport, handling, destination services, duties and taxes separately. Ask which items are included, estimated or charged as incurred, and who is responsible for payment.

Confirm Free Time And Return Dates

For container moves, confirm the applicable free period, when counting starts and stops, local tariffs and empty-container return arrangements. Storage and container-use charges may follow different rules.

Review Changes Before Proceeding

Repacking, changed measurements, a new address or additional delivery requirements can affect the scope. Share updated details and confirm the revised charges and next step.

Worked planning example

Compare Two Quotations With The Same Endpoint

Situation

Quote A covers international freight only. Quote B also lists origin handling and destination delivery. The smaller headline figure is not necessarily the smaller total.

What To Do

  1. Fix the same cargo description, final package measurements, gross weight, origin and endpoint for both requests.
  2. Place collection, reception, packing, freight, destination handling and final delivery on separate lines. Mark included, excluded or awaiting confirmation.
  3. Check currency, charging unit, minimum, validity and payment conditions. Ask who pays destination charges and what triggers extra storage or waiting charges.

What To Check Afterwards

Keep unresolved items visible before approval. Do not total figures in different currencies without stating the conversion basis; an unspecified charge must not be treated as zero.

Illustrative planning example; quantities are invented, not a customer shipment or a quotation.
